Dermsquared Data Unification
One trusted record for every clinician
Dermsquared’s clinician data was spread across more than a dozen systems, and answering a sponsor’s question about its audience meant matching lists by hand. AE Studio designed one trusted record for every clinician, using AI-assisted matching with people reviewing only the uncertain cases, so the business has one record to work from.
TL;DR
- AI-assisted matching worked through hundreds of thousands of clinician records across more than a dozen systems and sent only the uncertain cases to a person.
- Every clinician now has one trusted record, connected to Dermsquared’s analytics, and a single sign-on stops new duplicates at sign-up.
- The rules, pipelines, and documentation were handed to Dermsquared’s data team to run and extend.
The challenge
The problem.
Dermsquared has spent more than 20 years running education, events, and CME for dermatology professionals, and much of its business depends on sponsors who pay to reach that audience. Over time, every registration, event sign-up, email list, and course added another copy of each clinician in another system, until hundreds of thousands of records sat across more than a dozen systems and one clinician could appear under several email addresses, accounts, and event registrations. Matching an internal list against a sponsor’s list meant comparing spreadsheets by hand, which put sponsor confidence at risk. Marketing could not follow a clinician’s journey from first visit to CME completion or see how the audience was growing, and the personalized content the team wanted was out of reach.
AE Studio gave Dermsquared one trusted record per clinician. A single sign-on stops new duplicates at sign-up, AI-assisted matching worked through the backlog and sent only the uncertain cases to a person, and the unified record was connected to Dermsquared’s analytics, so sponsor and marketing questions are answered from one record instead of a spreadsheet comparison.
The matching had to pair AI with human judgment on the hard cases, and the rules, pipelines, and documentation were handed to Dermsquared’s data team to run and extend.
The solution
What we built.
One Login That Stops New Duplicates
AE designed Dermsquared Passport, a single sign-on across Dermsquared.com, .org, and connected tools such as the learning platform, so each clinician keeps one identity from the first visit on.
AI-Assisted Matching With a Person in the Loop
An AI-assisted unification tool found likely matches across more than a dozen systems and sorted them by confidence, so Dermsquared’s reviewers spent their time only on the cases that needed judgment. That turned a backlog too large to review by hand into a queue the data team could get through.
One Trusted Record per Clinician
Every clinician now has one ID and one record carrying the best available name, email, NPI number, specialty, and employer, validated against external physician data.
Reporting on One Record
The unified record was connected to Dermsquared’s analytics, tying each clinician’s activity across web, events, email, and CME to one ID.
Outcomes
What shipped.
The work had three parts: stop new duplicates at sign-up, use AI to work through the old ones, and give every team one record to work from.
One trusted record per clinician, drawn from more than a dozen systems
Sponsor list matching done against one record instead of a manual spreadsheet comparison
Each clinician’s activity across web, events, email, and CME tied to one ID
A data foundation for the personalized content Dermsquared wanted
Key takeaways
What we learned.
- A single sign-on that stops new duplicates turned the historical cleanup into a job with an end.
- Scoring matches by confidence and sending only the uncertain ones to a reviewer kept the volume manageable.
- Written rules and procedures are what let Dermsquared’s team run the platform after handoff, so documentation was treated as part of the deliverable.
- Deciding up front which source wins for each field is why the business accepted the record.
- The value shows up when marketing and sponsor reporting run on the unified record, not in the unification itself.
In summary
Bottom line.
Dermsquared’s clinician data was scattered across more than a dozen systems, which made sponsor questions slow to answer and personalization out of reach. AE Studio stopped new duplicates with a single sign-on, used AI-assisted matching to work through the backlog, and gave every clinician one trusted record connected to Dermsquared’s analytics. Without the AI-assisted tool the backlog could not have been cleared by hand, and without the single sign-on it would have kept growing. Together they gave Dermsquared a fast, reliable way to keep its data clean. Sponsor questions are answered from one record, and the personalized content the team wanted has data to run on.
